Employment Hero Integration
ComplianceTrackr (V5.6.0) (Due late October) can connect to Employment Hero so staff records and employment status stay aligned with your HR system.

This article is for Site Admins.
Note: Confirm your current subscription includes HR integrations. This option is available on ComplianceTrackr Advanced and above. It is not available on Core.
HR integrations are currently not available for sites using Training Manager or Training User. This will be supported in the coming months.

Admin access required
Only users with the Site Admin role in ComplianceTrackr can set up this integration.
If you do not have this role, contact your internal administrator or support@sm8a.com.au.
How Employment Hero records map
In Employment Hero, staff sit under People. They are assigned to Teams or Groups, a primary Location, and can also belong to a Work Site.
Employment Hero records map to ComplianceTrackr like this:
- Teams or Groups map to User Groups, or site access where used that way
- Location or primary work location maps to Satellite Sites or site access
- Work Sites map to Satellite Sites where needed
- Active employees map to active users
- Terminated or offboarded employees map to disabled users
- Certifications map to user profile records, if that sync is enabled
When you offboard an employee in Employment Hero (People > People list > Action > Offboard employee), they move to Terminated. That user should be disabled in ComplianceTrackr after the next update.
Do not delete an employee in Employment Hero to remove them from ComplianceTrackr. Use Offboard employee so the file is kept.
Step 1: Prepare your ComplianceTrackr setup
Before you connect Employment Hero, make sure your ComplianceTrackr environment is ready.
You must have:
- All Satellite Sites created
- All required User Groups created
These must be set up first. Employment Hero Teams, Locations or Work Sites will be mapped to these in later steps.
User Groups should be created on the Main Site. User Groups inside Satellite Sites are not supported yet.
Create Satellite Sites and User Groups that match your Employment Hero Teams, Groups, Locations or Work Sites before you sync.
Step 2: Create Employment Hero credentials
Employment Hero uses the Developer Portal.
Employment Hero API access is available to Admin users on EmploymentOS Elite or Unlimited, or HR Classic Platinum. The person creating the credentials needs to be an Admin on the Employment Hero organisation.
- Log in to Employment Hero.
- Open your profile menu in the top right and select Developer Portal.
- Register an application for ComplianceTrackr.
- Copy the Client ID and Client Secret.
- Find your Organisation ID. Open Home / the Dashboard and copy the unique number from the page URL.
Do not share or revoke these credentials after setup. The integration depends on them.

If you cannot see Developer Portal, check your Employment Hero plan and Admin access first.
If ComplianceTrackr appears under Settings > Security & Access Control > Add-ons, you can connect it from there instead of creating credentials by hand.
Do not use the Payroll classic API Key under Account > My Account > Security. That key is for payroll only.
Step 3: Complete the Integrations section
- In ComplianceTrackr, open Settings.
- Open the Integrations section.
- Select Employment Hero.
- Enter the fields shown on screen. These usually include Organisation ID, Client ID and Client Secret.
- If you also want synced users to receive app access, enable that option here.
- Click Save.

Step 4: Sync Teams, Locations or Work Sites
Click Sync Teams (top right) to import the list from Employment Hero.
This list may come from Teams / Groups, Locations, or Work Sites.
This step is only for linking and mapping. No user records are imported yet. That happens in Step 5.
Once the list appears, map each item to the correct Satellite Site or User Group.
- Map to a Satellite Site to control which site the staff can access.
- Map to a User Group to assign training courses and site policies automatically.
Multiple teams can be mapped to the same site or group.
Step 5: Import users
After mapping:
- Confirm each Team, Location or Work Site is linked to a Satellite Site membership or a User Group.
- Click Sync Users to import and merge users into ComplianceTrackr.
Synced users are added as the Employee role by default. You can update a user's role later in the ComplianceTrackr portal.
Employment Hero imports active employees. Candidates still completing onboarding should not be treated as active staff until they are onboarded.
If an employee is offboarded or terminated in Employment Hero, that user is also disabled in ComplianceTrackr after the next update.
Import conflicts
If conflicts or duplicate issues occur:
- The user performing the import receives an email outlining the errors.
- A copy is also sent to support@sm8a.com.au.
Important — complete sync before adding webhooks
Complete the team sync (Step 4) and user import (Step 5) before adding any webhooks.
Adding webhooks too early may cause incomplete or incorrect user updates.
Step 6: Add the ComplianceTrackr webhook
After the first sync, ComplianceTrackr shows a Webhook URL and Webhook Secret Token.
- In Employment Hero, open the Developer Portal.
- Open My Webhooks.
- Click Add Webhooks.
- Enter a name, for example ComplianceTrackr.
- Paste the Webhook URL from ComplianceTrackr. Employment Hero requires HTTPS.
- Enable these people-sync events if they are listed: Employee Created, Employee Onboarded, Employee Updated, and Employee Offboarding.
- Save the webhook.
Do not enable leave, bank account, timesheet or employment history events unless Support asks you to.
Employment Hero webhook access is available on Platinum and above Employment Hero plans.
The webhook fields in ComplianceTrackr only appear after the first sync has been completed.
Only enable the events shown in your ComplianceTrackr Integrations section.
What the integration is used for
Once users are synced, mapped Teams, Locations or Work Sites control:
- Main sites and Satellite Sites — which locations a user can access
- User Groups — training courses and site policies assigned to that group
New staff added to a mapped Employment Hero Team can automatically receive the training and site policies already assigned to that User Group.
Quick tips
- Create Satellite Sites and User Groups before you sync.
- Create credentials in the Developer Portal, and copy the Organisation ID from the Dashboard URL.
- Do not use the Payroll classic API Key.
- Map Teams before you import users.
- Do not add the webhook until the first user sync is complete.
- If new users are not appearing, check they are active employees, not terminated or still onboarding.
- If updates stop arriving, check that the webhook URL matches the one in Settings.
- For Developer Portal or credential issues, use Employment Hero support. For mapping and sync issues, use ComplianceTrackr support.
