FoundU Intergration
ComplianceTrackr (V5.6.0) (Due late October) can connect to FoundU so staff, Operations and employment status stay aligned with your HR system.

This article is for Site Admins.
Note: Confirm your current subscription includes HR integrations. This option is available on ComplianceTrackr Advanced and above. It is not available on Core.
HR integrations are currently not available for sites using Training Manager or Training User. This will be supported in the coming months.

Admin access required
Only users with the Site Admin role in ComplianceTrackr can set up this integration.
If you do not have this role, contact your internal administrator or support@sm8a.com.au.
How FoundU records map
In FoundU, staff sit under People. Locations, departments and teams are organised as Operations. Rosters are linked to Operations.
FoundU records map to ComplianceTrackr like this:
- Operations map to Satellite Sites or site access
- Locations map to a site or group where needed
- Tags map to User Groups, if you use tags that way
- Approved People map to active users
- Archived or terminated people map to disabled users
- Compliance records map to user profile records, if that sync is enabled
When you terminate a person in FoundU (People > Approved People > Manage > Terminate employment) and archive them, they should be disabled in ComplianceTrackr after the next update.
Step 1: Prepare your ComplianceTrackr setup
Before you connect FoundU, make sure your ComplianceTrackr environment is ready.
You must have:
- All Satellite Sites created
- All required User Groups created
These must be set up first. FoundU Operations will be mapped to these in later steps.
User Groups should be created on the Main Site. User Groups inside Satellite Sites are not supported yet.
Create Satellite Sites and User Groups that match your FoundU Operations, Locations or Tags before you sync.
Step 2: Create a FoundU Integration Key
FoundU uses an Integration Key.
- Log in to your FoundU admin account.
- In the side menu, go to Integrations > Integration Centre.
- Select Make a custom Integration.
- Choose the permissions requested by ComplianceTrackr or Support. These usually include access to People and Operations.
- Enter a name and description for the integration, for example ComplianceTrackr.
- Enter the email address that should receive the Integration Key.
- Confirm the permissions and create the integration.
FoundU emails the Integration Key. It is a string of letters and numbers.
You will also need the FoundU URL you use to log in. This is usually:
https://your-business.foundu.com.au
Do not delete or revoke this Integration Key. The integration depends on it.
If you cannot see Integration Centre, contact FoundU first using the support links at the bottom of this article.
Step 3: Complete the Integrations section
- In ComplianceTrackr, open Settings.
- Open the Integrations section.
- Select FoundU.
- Enter the details shown on screen. These usually include the FoundU URL and the Integration Key.
- If you also want synced users to receive app access, enable that option here.
- Click Save.

Step 4: Sync Operations
Click Sync Teams (top right) to import the list from FoundU.
In FoundU, this list comes from Operations. Locations or Tags may also appear, depending on your setup.
This step is only for linking and mapping. No user records are imported yet. That happens in Step 5.
Once the list appears, map each item to the correct Satellite Site or User Group.
- Map to a Satellite Site to control which site the staff can access.
- Map to a User Group to assign training courses and site policies automatically.
Multiple Operations can be mapped to the same site or group.
Step 5: Import users
After mapping:
- Confirm each Operation is linked to a Satellite Site membership or a User Group.
- Click Sync Users to import and merge users into ComplianceTrackr.
Synced users are added as the Employee role by default. You can update a user's role later in the ComplianceTrackr portal.
FoundU imports people from Approved People. Candidates still in onboarding, pending review, or declined should not be treated as active staff until they are approved.
If a person is archived or terminated in FoundU, that user is also disabled in ComplianceTrackr after the next update.
Import conflicts
If conflicts or duplicate issues occur:
- The user performing the import receives an email outlining the errors.
- A copy is also sent to support@sm8a.com.au.
Important — complete sync before adding webhooks
Complete the Operation sync (Step 4) and user import (Step 5) before adding any webhooks.
Adding webhooks too early may cause incomplete or incorrect user updates.
Step 6: Add the ComplianceTrackr webhook
After the first sync, ComplianceTrackr shows a Webhook URL and Webhook Secret Token.
Create a webhook in FoundU that sends People and Operation changes to that URL.
Use the URL and secret shown in the ComplianceTrackr Integrations section.
The webhook fields only appear after the first sync has been completed.
Only enable the events shown in your ComplianceTrackr Integrations section.
What the integration is used for
Once users are synced, mapped Operations control:
- Main sites and Satellite Sites — which locations a user can access
- User Groups — training courses and site policies assigned to that group
New staff approved in a mapped FoundU Operation can automatically receive the training and site policies already assigned to that User Group.
Quick tips
- Create Satellite Sites and User Groups before you sync.
- Create the Integration Key from Integrations > Integration Centre > Make a custom Integration.
- Keep the FoundU URL and Integration Key. If the key is revoked, the integration will stop updating.
- Map Operations before you import users.
- Do not add the webhook until the first user sync is complete.
- If new users are not appearing, check they are in Approved People, not still in onboarding.
- If updates stop arriving, check that the webhook URL matches the one in Settings.
- For Integration Centre or credential issues, use FoundU support. For mapping and sync issues, use ComplianceTrackr support.
