Maintenance Reporting

Use Maintenance on the Single Site Reporting page to review maintenance request and maintenance checklist forms: scheduled and unscheduled completions, assigned tasks, and maintenance issues.

The report page title is Maintenance Reporting. For all 12 report types, see Site Wide Reporting.

Note: Single Site Reporting is available to Managers and above, including Line Managers.

Open the Maintenance report

  1. Log in to the ComplianceTrackr desktop portal.
  2. In the left menu, open Reporting Dashboard.
  3. Select Single Site Reporting.
  4. On the Single Site Reports screen, select Maintenance.

Summary cards

The top of the page has eight cards. Dates display as DD-MM-YYYY.

Forms Scheduled

Labelled Numbers. Shows the total scheduled maintenance forms, split into Monthly forms, Weekly forms, and Daily forms.

Select View Schedule to open the list of scheduled forms.

Many maintenance forms are unscheduled request forms, so this card can show 0 even when request forms have been submitted.

Un-Scheduled Forms Complete

Labelled Numbers. Use Select Date range to see how many maintenance forms were completed that were not on a schedule.

Tasks Assigned

Labelled Statistic. Use Select Assignee to view one person or all users. Select View Tasks to open the assigned-task list.

Tasks Outstanding

Labelled Numbers. Use Select Assignee to see the outstanding percentage for that person.

Scheduled Forms Complete

Labelled Numbers. Use Select Date range, then View Completed to open Schedule Completed Forms By Form Name.

Incomplete Schedule Forms

Labelled Numbers. Use the date range on this card, then:

  • View Incompleted — incomplete scheduled forms by form name
  • Unattempted Forms — unattempted scheduled forms, grouped into daily, weekly, and monthly

Completed Tasks

Labelled Statistic. Use Select Assignee, then View Tasks to see completed tasks.

Number Forms Completed By

Labelled Numbers. Use Select Date range and Staff Name to see how many maintenance forms one person completed.

If a card shows 0, change the date range or assignee, or check that maintenance forms have been submitted.

Maintenance forms submitted

Scroll down to Maintenance Form Submitted for each completed maintenance form.

Turn on Show Only Inprogress Form? if you only want forms that are still in progress.

From this table you can open a completed form, send a reminder for an incomplete form, or open Reminder Activity logs. A reminder can be sent once per day.

This list includes maintenance request forms and other maintenance checklists used on the site.

Maintenance issues

Issues raised on maintenance forms are grouped by status:

  • Maintenance Issue Identification - Pending
  • Maintenance Issue Identification - In Progress
  • Maintenance Issue Identification - Closed
  • Maintenance Issue Identification - Open
  • Maintenance Issue Without Controls

Open an issue’s action details to see controls, the action taken, who took it, who closed the ticket, accept or reject notes, status, and times.

Use Without Controls to find maintenance items recorded without a recommended fix. Use Closed to confirm completed work.

If a table says “No data available in table”, there are no issues in that status for the current filters.
