Competency Reporting

Use Verification of Competency on the Single Site Reporting page to review competency inspection forms, the competency matrix, and competency issues.

This is different from Training, which is used for online courses. See Training Reporting. For all 12 report types, see Site Wide Reporting.

Note: Single Site Reporting is available to Managers and above, including Line Managers.

Open the Competency report

  1. Log in to the ComplianceTrackr desktop portal.
  2. In the left menu, open Reporting Dashboard.
  3. Select Single Site Reporting.
  4. On the Single Site Reports screen, select Verification of Competency.

Summary cards

The top of the page has four cards.

Complete Form

The first card is labelled Average and titled Complete Form. It shows how many competency forms were completed in the selected date range.

Use Select Date range to change the period. Dates display as DD-MM-YYYY. The page opens on today’s date.

Select View Completed to open Completed Forms By Form Name. That window lists the top completed forms and a chart of completions by form name.

Issues Identified

The second card is labelled Numbers and titled Issues Identified. It shows:

  • Open issue
  • Closed issue

Each count has its own date range: Open Issues Date Range and Closed Issues Date Range.

Competency Type

The third card is labelled Numbers and titled Competency Type.

Use Select Competency to choose a competency category set up for the site. The large number is how many completed competency forms match that category.

Open Actions

The fourth card is labelled Percentage and titled Open Actions.

Use Select Competency again. The percentage is how many actions in that category are still open (not closed).

If no data matches, a card may show 0 or NaN%. Change the dates or competency type, or check that competency forms have been submitted.

Competency Matrix

Competency Matrix shows assigned people down the left and each competency across the top.

  • The first column is Names. A group name can appear in brackets after the person’s name.
  • The other columns are the competencies assigned to the site.
  • Colour badges in the matrix match the legend in the top-right of this section.

Only active users who have been assigned that competency (as a person or as part of a group) appear in the matrix. If you do not have access to all users, you may only see your own row.

Overview chart

The chart section heading on screen is Report Based on Competency Repoting, with the label Overview Competency Repoting.

Use Select Year to load that year’s monthly results. The page opens on the current year.

The chart title is Competency Reporting based on Competency Data. The vertical axis is Competency Level By Numbers. Months run from January to December.

Competency forms submitted

Scroll down to Competency Form Submitted for each completed competency form. This list can include the person being assessed as well as the person who completed the form.

Turn on Show Only Inprogress Form? if you only want forms that are still in progress.

From this table you can:

  • open a completed form, which shows form type, submitted by, submission time, and whether the form is in progress
  • send a reminder for an incomplete form — the user receives an email and an in-app notification
  • open Reminder Activity logs to see who sent a reminder, who received it, and when

A reminder can be sent once per day. If the reminder button is unavailable, it can be used again tomorrow.

Competency issues

Issues raised on competency forms are grouped by status:

  • Competency Issue Identification - Pending
  • Competency Issue Identification - In Progress
  • Competency Issue Identification - Closed
  • Competency Issue Identification - Open
  • Competency Issue Without Controls

Open an issue’s action details to see controls, the action taken, who took it, who closed the ticket, accept or reject notes, status, and times.

If a table says “No data available in table”, there are no issues in that status for the current filters.
