Improved PDF Downloads & Password Protection

📄 Improved PDF Downloads & Password Protection

We’ve added a few improvements on (v5.5.5) to PDF downloads across the ComplianceTrackr desktop portal.

These changes apply to completed forms and other PDF downloads generated from the portal.

What’s New

  • Improved PDF compression on all PDF downloads (smaller file sizes)
  • Optional Password protect PDFs directly from the List Form table view
  • Optional Restrict copying and modification of the PDF content (optional permission controls)

Improved PDF Compression

All PDF downloads now use improved compression.

This results in smaller file sizes, which makes it easier and faster to:

  • Download forms and reports
  • Auto Email completed forms (coming in next app release)
  • Store or share files

No action is required — the improved compression is applied automatically to all new PDF downloads.

Password Protect a PDF from the List Form Table

You can now apply a password to a PDF when downloading it from the List Form table view.

How to password protect a PDF

  1. Open the relevant List Form table (completed forms list).
  2. Locate the form you want to download.
  3. Select the PDF download / protect option for that form.
  4. Enter a password.
  5. Confirm and download the protected PDF.

Anyone who opens the PDF will need the password you set.

Tip: Use a strong password and share it securely with the people who need access. The password is not stored or recoverable by ComplianceTrackr.

Your PDF is ready

Restrict Copying Text or Modifying the PDF

You can also apply restrictions so that people who open the PDF cannot:

  • Copy text from the PDF
  • Modify the PDF content

These restrictions are applied as part of the password protection process when downloading from the List Form table.

This is useful when you need to share a completed form but want to limit what others can do with the file.

Notes

  • These features are available on PDF downloads generated from the desktop portal.
  • Password protection and restriction options are applied at the time of download.
  • Improved compression is applied automatically to all PDF downloads.
  • Site admins have the ability to see an activity log table with all passwords that have been set previously for an form IDs.
