Multi-Site Group Support for Training Course Results & Reminders

We’ve updated in ComplianceTrackr v5.2.7, the Training Course ResultsOutstanding Courses, and Course Reminder Emails to fully support multi-site organisations within a group. These changes ensure users keep their correct training status — and only receive relevant reminders — even when moving between sites.

🔄 What Changed?

Previously, if a user completed a course at one site and was later moved to another site within the same group, the system would:

  • Show the user as not completed at their new site
  • Continue sending completion reminder emails, even though the user had already completed the course elsewhere

This caused significant frustration for users and extra admin follow-up.

✅ How It Works Now

With the new update:

  • If a user is assigned to a site within a group
  • AND they completed a course at any other site within that group
  • AND the course has the same Course ID at the new site

➡️ The system will now recognise their previous completion and correctly show the course as completed at the new site.

📧 Improved Course Reminder Emails

Users will now only receive reminders for genuinely outstanding courses.

If the system detects:

  • A previous completion at another site within the group
  • For a course with the same Course ID
  • And the user has moved to a new site

➡️ No reminder emails will be sent for that course.

This means:

  • No more unnecessary or repetitive reminders
  • Less confusion for users
  • Fewer support requests for admins
  • A smoother experience across multi-site organisations

🎉 Benefits

  • ✔ Accurate reporting across multi-site groups
  • ✔ Consistent training status, no matter the site
  • ✔ Smarter, more relevant email reminders
  • ✔ Reduced admin follow-up
  • ✔ Better experience for users and managers
